Reception cannot be on the phone and on WhatsApp at once

Patients message asking about availability, costs and directions while reception is on the phone. Recalls depend on someone working through a list, and the enquiry that came in on Instagram at 9pm is seen at 11am.

How it runs

  1. 1

The enquiry arrives out of hours

An automation replies with your hours and what to do in an emergency, so nobody waits until morning for the basics.

  2. 2

    It reaches the right person

The conversation is assigned to whoever handles that treatment, with a record of who replied.

  3. 3

    The patient has a history

Every conversation is attached to the contact, so context is not rebuilt each time.

  4. 4

Recalls go out as a batch

A broadcast to a tagged group on an approved template, with delivery and read counts.

Questions

Is this suitable for patient data?

Messages are stored in your account and access is scoped to your team. PingPlug is not sold as a clinical records system and makes no HIPAA or equivalent certification claim — treat it as a communication tool and keep clinical records in the system built for them.

Can we message patients who have not written to us?

Only with an approved WhatsApp template, and subject to the consent rules that apply to you. The 24-hour free-form window applies from the patient's last message.
