The members who quit stopped replying first

Someone walks in for a trial, gives their number, and is never contacted again. A class has four spaces at 6pm and nobody knows until 5.55. And the member who has not been in for three weeks is already gone — you just have not been told yet.

How it runs

  1. 1

    A trial enquiry arrives

From a form, the website widget, or a WhatsApp message. It becomes a contact with a tag, not a name on a piece of paper at reception.

  2. 2

    The follow-up runs itself

A drip sequence takes the trial from booking to the day after, so the conversation continues whether or not anyone at the desk remembers to have it.

  3. 3

    Classes get filled by broadcast

Message the members tagged for that class rather than everyone, so people stop muting you.

  4. 4

Quiet members surface on their own

The returning-customer trigger fires when someone messages again after a gap you choose, measured from their last message rather than your last campaign.

What you get

Trials tracked as a pipeline

Trial, joined, lapsed — each one a stage on a Kanban board, so nobody sits in the middle of it for a month unnoticed.

Segment by tag before you send

Broadcast to the 6am crowd, or to lapsed members, instead of the whole list. Every send goes to people it makes sense to.

Automated follow-up sequences

A timed series of messages after a trial or a sign-up, running without anyone remembering to start it.

Shared inbox for the front desk

Whoever is on shift can see and answer, and the conversation does not live on one manager’s personal phone.

Class bookings by form

Build a form, share or embed it, and read the submissions in the same place as the conversation.

Membership invoices

Raise an invoice against a member and track what is billed and what is paid — pending, partial, paid or overdue.

Questions

Can I message members who have not been in for a while?

Yes, using an approved template — that is what templates are for. Outside the 24-hour window WhatsApp only allows templates, and a lapsed member is by definition outside it. Tag lapsed members and broadcast to that tag.

Will members get annoyed by class reminders?

They will if you send every message to everyone, which is the usual cause of muting. Tagging by class and time means the 6am regulars never hear about the evening yoga, and your WhatsApp quality rating stays healthy because fewer people block you.

Does it handle bookings?

It handles the conversation and the form around a booking, not a timetable with capacity. If you already run booking software, keep it — Form submissions are stored in PingPlug, and one carrying an email address is attached to that contact automatically if you already have them. What it will not do is create a new contact or start an automation — there is no form trigger, so a submission cannot post itself to a sheet or a webhook.

Can two staff answer at once?

Yes. The inbox is shared, conversations can be assigned to a person, and you can see which agent replied to what.
