Contacts & Tags

A list of everyone is not a list you can use

The contacts are in three phones, a spreadsheet and somebody’s memory. Nobody can answer "who bought the large one last spring", so every campaign goes to everybody — and every campaign teaches a few more people to mute you.

What it does

Tags that mean something

Tag by product, source, branch or stage, and use those tags to decide who a message goes to.

History on the contact

Conversations, notes and deals sit on the person, so whoever picks it up next is not starting cold.

Captured, not typed

Contacts arrive from WhatsApp, Instagram and Messenger conversations, form submissions, the chat widget, and Meta lead ads — without anyone copying them in.

Automatic tagging

An automation can add or remove a tag on what someone does, so segments stay current instead of ageing quietly.

Segments feed the sending

Broadcasts and sequences take a tag as their audience. The segmenting and the sending are the same system.

Duplicates matched on the number

A returning customer is matched to their existing record rather than becoming a second one.

How it works

  1. 1

Contacts arrive on their own from conversations, forms, the widget and lead ads.

  2. 2

Tag them — by hand, or automatically from an automation.

  3. 3

Notes and deals accumulate against the person over time.

  4. 4

Broadcast or enrol by tag, so a message reaches the people it applies to.

Worth knowing before you sign up

  • Imported contacts are matched on phone number, so a row already in your contact book is skipped rather than duplicated — useful, but it means an import will not update details on an existing contact.
  • Contact limits are per plan: 100 on Free, 5,000 on Starter, 25,000 on Growth, uncapped on Unlimited.
  • There is no automatic deduplication sweep. Matching happens on the phone number as contacts arrive.

Questions

Can I import my existing contact list?

Yes. Upload a CSV or Excel file, map your columns to the fields, and import. Rows whose phone number is already in your contact book are skipped rather than duplicated, and every skipped row is listed with its spreadsheet line number so you can see exactly what did not come in — you can download that list as a CSV.

What counts towards my contact limit?

Unique stored contacts, not messages sent. Free covers 100, Starter 5,000, Growth 25,000, and Unlimited is uncapped.

Will the same person appear twice?

An arriving contact is matched to an existing record by phone number, so a returning customer keeps their history rather than starting a second file.

Can tags be applied automatically?

Yes. Automations can add and remove tags based on what a contact does, which is the only way segments stay accurate once there are more than a few hundred people.
