Education, Tutoring & Coaching

Every enquiry deserves the reply the first one got

Admission season means a hundred people asking the same six questions at once — fees, timings, syllabus, is there a demo class. The first ten get a careful answer. By the fiftieth, replies are one word and enquiries are being lost between a phone, a personal WhatsApp and a notebook.

How it runs

  1. 1

    An enquiry arrives from anywhere

WhatsApp, Instagram, Facebook, a website widget or a form — all into one inbox rather than four places nobody checks equally.

  2. 2

    The common questions answer themselves

On Instagram, Messenger and your website widget, an AI chatbot answers from a knowledge base you write, so fees and timings do not need a person at 11pm. On WhatsApp itself the replies are keyword and template automations rather than a bot.

  3. 3

    Real enquiries reach a human

Anything the bot cannot answer is a conversation an agent picks up, with the whole history already there.

  4. 4

    Follow-up is scheduled, not remembered

A drip sequence runs from enquiry to enrolment, and a follow-up reminder emails whoever owns the lead when it is due.

What you get

Knowledge-base chatbot

Write the questions and answers once. The bot uses them, so fees and timings are answered accurately rather than approximately.

Admissions as a pipeline

Enquiry, demo booked, enrolled — visible as stages, so you can see how many are stuck before a demo rather than guessing.

Broadcast to a batch, not everyone

Tag by course, year or centre and message only the people it concerns.

Enquiry forms

Embed a form on the site or share the link. Submissions become contacts, not an inbox you forget to check.

Email campaigns from your own address

Connect your own SMTP so prospectus emails come from your institution rather than a generic sender.

Multiple centres

Run more than one branch under the same account, each with its own team.

Questions

Can parents message us and get an instant answer at night?

Yes, if you set the chatbot up with a knowledge base. It answers from what you wrote, and hands over to a person for anything it does not cover. Requires an AI provider key — Groq and Google Gemini both have free tiers.

Can we message students who enquired months ago?

Only with an approved template, because they are outside the 24-hour window. That is a WhatsApp rule rather than ours, and it applies to every tool built on the official API.

Do we need a separate number for each centre?

No. Multi-branch lets several centres share the account. Whether you want one number or several is a business decision — WhatsApp allows either, but each number is registered separately with Meta.

Can we see which counsellor is following up which lead?

Yes. Conversations are assignable, deals have an owner, and there is per-agent activity in analytics.
