The client who cannot reach you assumes nothing is happening

Clients message asking where their matter has got to, because silence feels like neglect even when the file is progressing. Meanwhile the documents you asked for three times still have not arrived, and the enquiry that came in on Saturday was answered on Tuesday.

How it runs

  1. 1

An enquiry arrives and is acknowledged

An automation replies immediately so nobody sits wondering whether they reached a real firm, while the file is still yours to open or decline.

  2. 2

    Intake is collected once

A form gathers the details you always need, instead of six exchanges over a week.

  3. 3

The matter becomes a tracked item

Each one is a deal with a stage and an owner, so "where has this got to" is answerable without opening the file.

  4. 4

Documents get chased on a date

Set a follow-up date; the fee earner who owns it is emailed when it passes. The chase happens whether or not anyone remembered.

What you get

Shared inbox across the practice

Enquiries reach the firm rather than one solicitor’s phone, so cover during holidays is not a crisis.

Matters as pipeline stages

Enquiry, engaged, in progress, closed — visible rather than remembered.

Intake forms

Collect the standard details once, readable next to the conversation.

Follow-up reminders

An email to the owner when a matter passes its follow-up date.

Assignment and ownership

Every conversation and matter has a named owner, which is also how you answer who said what.

Official Meta API

Messages go through Meta’s Cloud API on a number registered to your firm, not a browser session logged into someone’s account.

Questions

Is WhatsApp appropriate for confidential client matters?

That is a judgement for your firm and your regulator, not something a tool can settle. What is true technically: WhatsApp messages are end-to-end encrypted in transit, and once a message reaches PingPlug it is stored in the database like any other CRM record. If your obligations require specific retention, residency or disclosure controls, check them against that before moving client communication here.

Can we message a client whose matter has gone quiet?

Yes, with an approved template — after 24 hours of silence WhatsApp allows nothing else. A case-update template is a utility message, which is the cheaper category, as long as it does not also market other services.

Can we keep personal and work messages separate?

Yes, and you have to: a number on the WhatsApp Business Platform cannot also be used in the WhatsApp app on a phone. Most firms register a separate number so personal accounts keep working normally.

Does it store files clients send?

Media sent through WhatsApp arrives in the conversation. There is no document management system here — no versioning, no matter-level file structure — so this complements a practice management system rather than replacing one.
