Shared Team Inbox

The business number should not live on one person's phone

The shop WhatsApp is on a manager's handset. When they are off, nobody can answer. Nobody else can see what was promised to a customer last week, and there is no record of who said it.

What it does

Three channels, one inbox

WhatsApp, Instagram DMs and Facebook Messenger arrive in the same place.

Assignment

Hand a conversation to a specific agent so it is owned rather than sitting in a queue everyone assumes someone else has.

Every message attributed

Each outgoing message records which agent sent it.

Full history per contact

Conversation, campaign and deal history against one customer record.

The 24-hour window, visible

A live countdown shows how long you can still reply freely, and the composer switches to templates when it closes — so a reply is never rejected by Meta after you typed it.

Pinned templates

The one or two replies you send all day stay at the top of the picker.

How it works

  1. 1

Connect your WhatsApp number, and optionally Instagram and Facebook.

  2. 2

Invite your team; each gets their own login.

  3. 3

Messages arrive in the shared inbox in real time.

  4. 4

Assign, reply, and leave notes the customer never sees.

Questions

Can two agents reply at once?

Yes. The inbox is shared and updates live, and assignment exists so two people do not answer the same conversation by accident.

What is the 24-hour window?

Meta allows free-form replies for 24 hours after a customer's last message. Outside it you must use an approved template. PingPlug shows the remaining time on each conversation and blocks free-form sends once it has closed.

Do my team members need their own WhatsApp?

No. The number is connected once to the account, and everyone answers through PingPlug with their own login.
