What is the difference between WhatsApp labels and CRM tags?
Labels are a feature of the WhatsApp Business app: a small fixed number of coloured markers applied to chats on one phone. CRM tags are records in a database, unlimited, shared across a team, and usable as an audience for sending. Labels do not transfer when a number moves to the Business Platform.
What labels are
Markers on a chat, stored on the device, capped at a small number of labels.
They are for the person holding the phone. Nobody else sees them, and nothing can act on them.
What a tag does that a label cannot
It is shared, so the whole team sees the same segmentation.
It can be applied automatically by a rule rather than by hand.
It can be an audience: send to everyone tagged for a class, a renewal month, or a product.
It lives on the contact rather than the chat, so it survives the conversation ending.
The migration nobody warns you about
Labels do not come with the number when it moves to the Platform. Neither does the chat history.
If your labels encode something you rely on — which customers are wholesale, who is on a payment plan — write that list down before migrating, because afterwards it exists only on a phone that can no longer use the number.
Which you actually need
One person, a few hundred chats, no sending by segment: labels are enough and cost nothing.
More than one person answering, or any intention to message groups of customers deliberately, is where labels stop being sufficient — not because they are bad, but because they cannot be shared or acted upon.
PingPlug tags are shared, unlimited, applicable automatically from an automation, and usable directly as a broadcast or drip audience. Segmenting and sending are the same system, which is what makes tagging worth the effort.
