What is a WhatsApp message template and why does it need approval?

A WhatsApp message template is a pre-written message, reviewed and approved by Meta before you can send it, that lets a business start a conversation outside the 24-hour window. Templates contain placeholders you fill in per recipient, so one approved template serves every customer.

Why approval exists

Templates are the only way to message someone who has not written to you recently. Reviewing them in advance is how Meta controls what businesses can push into people's personal messaging.

Approval usually takes minutes rather than days, but it is a review and it can be refused.

Categories

Templates are submitted under a category — broadly, marketing, utility and authentication. The category affects both how the message is treated and what it costs, and Meta will re-categorise a template that does not match its stated purpose.

Meta changes category rules and pricing periodically. Check their current documentation rather than trusting any figure quoted on a vendor site, including this one.

Common reasons for rejection

Placeholder abuse — a template that is almost entirely variables, which would let it become an arbitrary message.

Missing context — a template a recipient could not make sense of without information not in it.

Promotional content submitted under a non-marketing category.

Aggressive formatting: heavy capitalisation, excessive punctuation, URL shorteners.

Templates belong to your account, not your tool

Approved templates live on your WhatsApp Business Account. If you move to a different platform and connect the same number, your templates come with you — you do not re-apply.

PingPlug syncs your approved templates from Meta, sends the parameter format each one actually declares, and hosts your own header image where a template needs one.
