One shared login is not a team

Everyone uses the same account, so nobody knows who replied, who promised the discount, or who was meant to follow up. When someone leaves, the password changes and the whole team is locked out for an afternoon.

What it does

A login each

Invite people by email. Each has their own account, which is what makes any of the rest of this possible.

Three role labels

Admin, Agent and Viewer, recorded against each person so you can see how the team is meant to be organised. They are not enforced yet — everyone you add can see and change everything.

Conversation assignment

A conversation with an owner is answered once. Without assignment, a shared inbox is a group chat.

Deal ownership

Deals carry an owner, and follow-up reminders email that person rather than everybody.

Per-agent activity

Analytics groups deals and messages by agent, so a conversation about workload has numbers in it.

A login working the same minute

You set their email and password and hand it over. There is no invitation email to chase, so nobody is blocked waiting on a spam folder.

Worth knowing before you sign up

  • Roles are not a permissions boundary. Admin, Agent and Viewer are recorded and displayed, and nothing in the product reads them to allow or refuse an action — anyone you add can see and change everything, whichever label you pick. Only add people you would trust with all of it. If you need to keep a colleague out of your invoices, this does not do it yet.
  • Three fixed labels, and no custom permission builder to make them mean something either.
  • Seats are limited by your plan, and the team page tells you when you have run out.
  • No shift scheduling and no online-status awareness. Automatic assignment distributes by how many open conversations each person is holding, which is not the same as knowing who is at their desk right now.
  • Removing someone does not reassign their open conversations and deals. That is a deliberate choice — silently moving work is worse than making you decide — but it is a step you have to remember.

Questions

What can a Viewer do?

Today, everything an Admin can. The role is a label recording what you intend, not a restriction the product applies — a Viewer can edit the pipeline and read your invoices. The team page says so at the point you pick it. We would rather you heard that here than found it out.

Can I build a custom role?

No, and the three that exist do not restrict anything either — so the honest answer is that PingPlug has no access control between colleagues yet. If your structure needs one person kept out of something, this will not fit and it is better to know now.

What happens when someone leaves?

Remove them and their access to this account stops on their very next request — their seat is checked every time, so there is no session left running. The login itself still exists; it simply reaches nothing of yours. Their open conversations and deals stay assigned to them until you move them, which is deliberate — reassigning silently would hide work rather than hand it over.

Does everyone need their own WhatsApp number?

No. The whole team works one business number through the shared inbox. That is the point of it.
