Appointment Reminders
Someone books three weeks out, forgets, and the slot is dead. Phoning to remind everyone takes an afternoon nobody has, and a text message costs money and gets ignored.
Appointment reminders are utility messages, which is the cheaper category and the one Meta approves readily, because they relate to a transaction the customer already entered into. Create a template with the date and time as variables, then send it to the people due, tagged by day.
Which kind of message this is
Utility. The customer booked, so a reminder about that booking is a transactional message rather than marketing — provided it only confirms the appointment and does not also advertise anything.
Write the template in Meta’s WhatsApp Manager
Put the date, time and place in as variables. Submit it as Utility. Give every variable a realistic sample — placeholder text like "xxx" is a common rejection.
Tag contacts by appointment day
A tag per day is the simplest thing that works, and it means a send goes only to the people it concerns.
Send the broadcast the day before
Pick the tag, pick the template, fill the variables. The reminder goes out as an ordinary WhatsApp message.
Let replies come back to the inbox
A reply opens the 24-hour window, so rescheduling is a normal conversation — no template needed for the back-and-forth.
What goes wrong
They are utility messages, which is the cheaper of the categories Meta bills. The exact rate depends on the recipient’s country and Meta has restructured this pricing more than once, so check their current rate card rather than any number quoted on a vendor site.
