WhatsApp AI Chatbot for Small Business: Complete Setup Guide
Deploy a 24/7 AI chatbot on WhatsApp that answers FAQs, qualifies leads, and escalates to humans — without writing a single line of code.
Why Your Small Business Needs a WhatsApp Chatbot
Your customers message you at 11pm asking for pricing. Your staff isn't available. The lead goes cold by morning.
A WhatsApp AI chatbot solves this. It responds instantly, 24/7, in a natural conversational tone. And with PingPlug's Claude-powered chatbot, it actually understands what people are asking.
Which channels the bot answers on
Worth knowing before you set anything up: the AI chatbot replies on Instagram DMs, Facebook Messenger and the website chat widget. It does not answer on WhatsApp yet.
On WhatsApp you can still automate replies with keyword and template automations — those follow rules you write, rather than generating an answer. If an AI reply on WhatsApp specifically is what you need, this is not the tool for it today, and it is better to know that now than after you have written a system prompt.
What PingPlug's AI Chatbot Can Do
- Answer FAQs — pricing, hours, location, product details
- Qualify leads — ask for name, email, budget, and what they're looking for
- Book appointments — guide users through a flow to confirm time slots
- Escalate to humans — detect frustration or specific keywords and hand off to your team
- Remember context — the AI reads the last 10 messages, so conversations flow naturally
Setting Up the Chatbot
Step 1: Write your system prompt
The system prompt is the instructions you give the AI. Think of it as training your virtual assistant.
Example system prompt for an e-commerce store:
You are a helpful assistant for [Store Name]. We sell handmade leather bags. Our prices range from PKR 3,000–15,000. Delivery is 3–5 days nationwide. Cash on delivery available. If someone wants to place an order, ask for: full name, phone number, product interested in, and city. Then confirm the order details. If you can't answer something, say "Let me connect you with our team" and add the keyword ESCALATE.
Step 2: Set handoff keywords
Keywords that trigger a human takeover: "escalate", "agent", "human", "complaint", "refund"
When a user says any of these, the chatbot stops responding and the conversation is flagged for your team.
Step 3: Enable the chatbot
In PingPlug, open AI Chatbot in the sidebar. Paste your system prompt, set the handoff keywords, and toggle it Active.
Tips for an Effective Chatbot
Be specific in your system prompt
The more detail you give, the better the responses. Include your actual prices, policies, and product names.
Test it yourself
Send test messages as a customer would. Check that the tone feels right and the information is accurate.
Update regularly
When you launch new products or change prices, update the system prompt. The AI only knows what you tell it.
Don't try to automate everything
Leave room for human escalation. Customers appreciate knowing there's a real person available for complex issues.
Cost Considerations
PingPlug's AI chatbot uses the Claude Haiku model — extremely fast and affordable. The cost is a fraction of a cent per message and is included in your subscription.
There's no additional API cost for the chatbot — it's built in.
